Job Description


Duties and Responsibilities

  • Answer and direct phone calls in a polite and friendly manner
  • Determine visitor needs in a professional manner
  • Direct visitors to the appropriate person and office
  • Receive, sort and distribute daily mail/deliveries
  • Deal with bookings by phone, e-mail, letter, or face-to-face
  • Deal with queries and provide correct information in-person and via phone/email
  • Schedule and confirm appointments and maintain event calendars
  • Keep detailed and accurate records of visitor requests and of calls received
  • Provide solutions and support to the customer using in-depth knowledge of company products and services
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
  • Perform other clerical receptionist duties such as photocopying, scanning, typing and transcribing
  • Any other work-related duties as may be directed by superiors.

Qualifications, Skills and Experience

  • Diploma/Degree or equivalent education required
  • 1-2 years of prior experience as a Receptionist, Front Office Representative or similar Customer Service role in a corporate environment
  • Hands-on experience with office equipment (e.g. printers)
  • Excellent interpersonal skills
  • Work Ethic
  • Solid verbal and written Communication
  • Accuracy and Attention to Detail
  • Excellent organizational skills
  • Strong phone Skills
  • Microsoft Office Skills
  • Handle Pressure
